Where the month actually goes

Five things that quietly add days to every cycle. Scroll, and the ledger on the right keeps count.

  • 01

Statutory maths lives in a spreadsheet

Provident fund, state insurance, professional tax and TDS are worked out by hand each month, and the ceilings change without the sheet changing.

Computed per run: PF at 12% to a Rs 15,000 ceiling, ESI to Rs 21,000 gross, professional tax by state, TDS on annualised slabs.

  • 02

Leave balances are argued, not looked up

Monthly caps differ by category, nobody agrees what is left, and loss of pay gets discovered at payroll rather than at request time.

Eight leave types with a cap per category, and any overflow converted to loss of pay inside the request before it is submitted.

  • 03

The device and the register disagree

Punches sit on the biometric machine, the office staff are on a separate sheet, and reconciling the two is somebody’s week.

The eSSL or ZKTeco device and the browser self-punch write to the same log, rolled into one daily record per person.

  • 04

Every letter is retyped from the last one

Offer letters are copied from a colleague’s file, revisions lose the earlier version, and nobody can prove what was sent.

Offer, appointment, relieving and experience letters generated from your own templates, with offers versioned across revisions.

  • 05

    Approvals run over email

A request sits in an inbox, the chain differs per document, and the only record of who signed off is a forwarded thread.

Configurable multi-stage chains per document type, each stage naming its approving role and its self-approval rule.

The platform

Seven modules on one employee record

Every module below is running in the product today, and they share one employee record — so payroll reads the same attendance your managers approved.

The method

The full lifecycle, offer to exit

One record per employee, carried through five stages. Each one leaves behind what the next one needs.

  1. 1

    Offer and accept

The offer letter is generated from your template and routed through its approval chain. Revise the terms and it versions, keeping the copy that went before.

  2. 2

    Appoint and join

Acceptance creates the login and the appointment order follows. Joining documents are collected against the record, with Aadhaar, PAN and bank details encrypted at rest.

  3. 3

    Run the month

Attendance arrives from the device and the browser and rolls into one daily record. Leave is requested against its cap, and expenses and assets sit on the same file.

  4. 4

    Pay and file

Payroll computes provident fund, state insurance, professional tax and TDS per run, applying loss of pay in the same pass, so the payslip and the register agree.

  5. 5

    Exit and clear

Resignation opens a five-stage pipeline. IT assets, finance, admin, HR documents and access cards each clear before the relieving letter is released.

Outcomes

What changes once it is running

Month end stops being a reconstruction

Attendance, leave and expenses land against the record as they happen, so the payroll run reads what is already there instead of gathering it.

  • Punches arrive from device and browser
  • Leave already netted against its cap
  • Loss of pay applied in the same pass

Voices

Written for the people who sign off

  • The appraisal window used to take three weeks of chasing. The inputs are simply there now, and we spend the time on the conversation instead.

    Group head of people

    Manufacturing

  • We run four companies off one deployment. Each one sees only its own records, which is what made the internal audit straightforward.

    Director, shared services

    Diversified group

  • The statutory register reconciling against the payroll runs on its own removed an entire month-end reconciliation from my team.

    Finance controller

    Financial services

  • Attendance from the biometric devices and the web logins landing in one record ended a long-running argument between plant and head office.

    Plant HR lead

    Textiles

  • What the board wanted was a number they could interrogate. Being able to click from a rating to the evidence behind it changed the review meeting.
